Your day-to-day responsibilities
- Act as a trusted partner to the C-level Executives you support with a primary focus on time management, travel coordination, and logistics, ensuring their days run smoothly and efficiently.
- Proactively manage complex calendars across multiple time zones, making well-judged decisions on scheduling, prioritization, and meeting logistics, and anticipating needs to resolve conflicts before they impact executive effectiveness.
- Manage end-to-end travel planning and logistics, including international travel, itineraries, meeting coordination, and last-minute changes, resolving issues calmly and independently.
- Ensure executives are well prepared for meetings and travel by coordinating materials, agendas, and communication with internal teams, partners, and other stakeholders, handling coordination with discretion and sound judgment.
- Handle administrative routines and execution-focused tasks with accuracy and consistency, including coordination, follow-ups, and maintaining trackers, timelines, and action lists, with strong attention to detail and timely follow-through.
- Create, maintain, and organize documents, presentations, trackers, and spreadsheets, ensuring accuracy, clarity, and strong visual quality across both Microsoft Office and Google Workspace environments.
- Collaborate closely with other Executive and Administrative Support teams to ensure consistent, high-quality executive support and smooth coverage.
- This will require you to be tech savvy and able to quickly pivot between tasks.
What we’re looking for
You have 5+ years of experience as an Executive Assistant or similar role for senior leadership, ideally in a high-growth international company, and bring the following qualities:
- Full professional proficiency in English, both verbal and written (additional language skills are a plus)
- Excellent organisational and prioritisation skills, with the ability to manage competing demands calmly under pressure
- Strong attention to detail, you notice the small things that keep operations running smoothly and accurately.
- Confidentiality and trust, you handle sensitive and confidential information with absolute discretion and sound judgment.
- A proactive, anticipatory mindset - you spot issues before they arise and act independently to resolve them
- Strong interpersonal and communication skills
- Technical fluency across digital tools (e.g. Google Workspace, MS Office, and AI)
- Flexibility and adaptability in a fast-moving environment where priorities can shift quickly
