The Role
As a People Operations Specialist at Air Apps, you will be at the heart of our HR and recruiting operations. You’ll ensure smooth and timely delivery of key people-related processes, from recruitment and onboarding to documentation and employee support. You’ll play a critical role in maintaining a compliant, well-organized, and people-first work environment.
- This is a fully onsite position, based at our office in Lisbon, where you will collaborate closely with cross-functional teams in person and contribute to a dynamic and fast-paced environment. We are open to support with relocation efforts.
Responsibilities
HR Operations & Employee Support
- Assist with day-to-day HR tasks including payroll coordination, benefits administration, and employee data management.
- Clarify HR policies and respond to employee inquiries with empathy and accuracy.
- Support internal HR initiatives, including company-sponsored people programs and team communications.
- Take ownership of recurring documentation tasks, such as creating and updating internal HR processes, SOPs, and templates to ensure a compliant and well-documented HR environment.
Recruitment & Hiring Support
- Manage end-to-end recruitment tasks including job postings, candidate sourcing, interview scheduling, and process coordination.
- Collaborate with hiring managers to track progress, provide candidate updates, and maintain momentum throughout the hiring pipeline.
- Help create a positive candidate experience from first contact to final offer.
Onboarding
- Coordinate onboarding logistics, welcoming new hires and ensuring a smooth integration into the team.
Requirements
- Minimum of 2 years of experience in recruiting, including sourcing, interviewing, and negotiating offers — ideally within a consultancy or fast-paced environment.
- Hands-on experience with Applicant Tracking Systems, especially Ashby.
- Proficient in LinkedIn tools, especially LinkedIn Recruiter, and familiar with other sourcing platforms and talent engagement strategies.
- Experience supporting HR operations such as payroll, benefits, and employee services.
- Strong attention to detail and organizational skills, with the ability to manage multiple priorities.
- Familiarity with the Portuguese labor law framework — you don’t need to be a legal expert, but understanding the impact of current regulations on hiring and employee operations is a significant plus.
- Excellent written and verbal communication in English; Portuguese proficiency is a bonus.
