Key Responsibilities
- Review and analyze full bid packages, including mechanical drawings and Division 23 specifications, to identify scope gaps, risks, and missing requirements.
- Perform detailed quantity takeoffs for HVAC systems including:
- Ductwork
- Hydronic and refrigerant piping
- Equipment (AHUs, RTUs, chillers, boilers)
- Diffusers, grilles, registers
- Controls and related components
- Extract and interpret technical requirements from drawings, schedules, addenda, and specifications.
- Support bid preparation including pricing, assembly, and coordination with the lead estimator and internal team.
- Source and organize vendor and subcontractor quotes for equipment, materials, and specialty systems.
- Apply labor units (SMACNA/MCAA or client-specific standards) to develop accurate labor estimates.
- Collaborate with project management and engineering teams to ensure estimating accuracy and consistency across documentation.
- Ensure compliance with mechanical codes (IMC, ASHRAE) and commercial construction standards.
- Assist in identifying constructability issues and logistical challenges in proposed HVAC systems.

Requirements
- Minimum 2+ years of experience in commercial HVAC or mechanical estimating.
- Strong ability to read and interpret mechanical drawings, specifications, and bid documents.
- Proven experience identifying scope gaps, inconsistencies, and cost risks in estimates.
- Proficiency in Excel and familiarity with HVAC estimating/takeoff tools such as:
- FastEST / FastDUCT / FastPIPE
- QuoteSoft
- Trimble Autobid Mechanical
- PlanSwift
- Bluebeam
- Solid understanding of HVAC systems, including:
- Air handling units, rooftop units, chillers, boilers
- VAV and fan coil systems
- Ductwork and piping systems
- Controls and building automation systems
- Strong communication skills with ability to collaborate with U.S.-based teams.
- A neutral English accent and clear verbal communication is required.
- Prior remote experience working with U.S. contractors is strongly preferred.
- Highly detail-oriented with strong analytical and organizational skills.
